Separate the technical issue from the clinical question
A missing transmission can have several explanations. The administrative agent should record the patient’s stated issue and the support action taken without diagnosing the reason. Clinical staff determine the significance of missing information and any response required by the patient’s situation. A routine outreach queue is not continuous clinical monitoring.
Use an approved task, script and destination
The program owner defines when an administrative task is created, which script is used, what information is visible and who receives an escalation. Agree on business-hour and after-hour handling before launching the queue. Do not invent clinical thresholds or timing rules based on a generic checklist.
Keep the contact outcome factual
Examples of administrative outcomes include no contact, callback requested, connectivity question routed to device support or clinical question routed to the care team. State who received the handoff and whether it was acknowledged. Do not label an unanswered call as a resolved issue or report patient adherence from contact attempts alone.
Review repeat exceptions with the program owner
Recurring technical barriers may require changes to patient support material, the device-support arrangement or workflow design. Record the operational pattern, then let the qualified owners decide the appropriate response. Track exception resolution separately from billed clinical services, patient outcomes and reimbursement eligibility.
Common questions
Can an agent reassure a patient that a missing reading is harmless?
No. The agent should follow the approved escalation process and avoid clinical reassurance or urgency decisions outside the authorized role.
Does resolving a connectivity question establish a billable RPM service?
No. Technical support activity does not by itself establish coverage, required documentation or entitlement to payment.
