Choose an initial queue with a defined finish
Start with a workflow your client team can explain and review: supplier callbacks, pharmacy refill requests, home health referral follow-up or administrative RPM onboarding tasks. Define what makes a record ready for an agent and what counts as a completed administrative task. Identify what happens when the requested information is missing or the patient needs a qualified professional. Avoid combining unrelated tasks under a single “completed call” status.
Plan staffed hours and queue ownership
Agree on coverage windows, callback commitments, expected work volume and how shared supervision and quality review will operate. An illustrative allocation could assign two agents to outbound follow-up, two to callbacks and one to open-task coordination, adjusted to the actual queue. This is a planning example, not a fixed staffing promise. Five agents do not imply five people available around the clock.
Five agents × 160 hours each × $12 equals $9,600 in illustrative monthly administrative agent fees. The 160 hours are an example, not an imposed monthly minimum. Confirm billable time, training arrangements, coverage and any additional agreed charges in the proposal. Use the price and service comparison worksheet when comparing written quotes.
Map proprietary workflows to the client’s requirements
GoHealth 360’s proprietary workflows and call-management solutions are customized to each customer’s requirements. Define the necessary data fields, permissions, work queues, dispositions and reporting views. Validate any required system connection before committing to it. Grant only approved access through the client’s authorized process; do not place patient information in a public website brief.
Name the receiving teams and escalation paths
Document who receives clinical questions, prescription concerns, coverage issues, admissions questions and fulfillment decisions. Specify coverage hours, acknowledgment requirements and the owner of an unresolved handoff. For provider-led RPM support, identify the qualified clinical team and device-support partner separately. Administrative staffing does not establish clinical monitoring coverage.
Rehearse realistic cases before live work
Use approved, nonpatient training examples for identity checks, caregiver permissions, opt-outs, a missing record, an unanswered callback and a request outside the agent’s scope. Check whether agents can find the right recipient and record a complete outcome. Agree on the readiness criteria and who approves the transition to live work. The checklist supports planning; it does not replace client approval or establish an automatic launch date.
Review the first operating cycle
Compare scheduled hours, contact activity, documented outcomes, aging tasks and acknowledged handoffs against the agreed service measures. Review sampled interactions using the healthcare BPO quality-scorecard framework. Assign improvements to a named owner and confirm whether training, the queue or the workflow needs adjustment. Expand scope when the client can verify that the current work is being handled as agreed.
Common questions
How much does a five-agent team cost?
The published administrative rate is $12 per agent-hour with a five-agent minimum. At an illustrative 160 hours per agent, five agents total $9,600 in monthly agent fees. Confirm actual staffing hours, included work and any additional agreed charges in the proposal.
Does a five-agent team include clinical RPM monitoring?
The published offer is for agreed administrative support. Licensed clinical staffing, interpretation of readings and clinical coverage must be established separately for the provider’s program.
